Touchless check-in, without the hardware lock-in
How the StudyDesk QR gate actually works: one printed pass at the door, any Android phone as the reader, and an attendance record stamped with seat, shift and time.
Most attendance hardware in Indian study libraries is a fixed-cost, fixed-format decision: a machine on the wall, a vendor to call when it stops reading, and a student queue while it retries. StudyDesk deliberately inverts that. The gate is a QR pass and a phone.
One pass at the door
Every library in StudyDesk has its own QR pass, generated once and printable at any size. Stick it beside the entrance — a sticker on the glass, a laminated A4, a tablet in a stand. That artefact is the entire gate.
- Members scan the library pass from the StudyDesk Android app to record entry or exit.
- Staff can scan from their side when a phone camera is not available or the member is new.
- If you still run a printed member slip, the same scanner accepts it — no second system to maintain.
- Any modern Android handset is a valid reader. There is no dedicated terminal to buy, mount or service.
What happens on a scan
The scan is a validation, not a formality. StudyDesk checks that the member is active, that they hold a live membership for the current shift, and that their seat allocation is valid. On success the attendance record is stamped with the seat, the shift and the timestamp, and the member's app updates immediately. On failure the app says why — expired membership, unpaid dues, seat already released — instead of silently letting the student in and creating an argument at closing time.

Weak connections and no signal
The member app is offline-first for everything it reads. Home, dues status, pass and attendance history are cached, so a student on patchy mobile data sees their current state instantly rather than a spinner. Writes are queued and retried when the connection returns, so a morning with one bar of signal does not become a gap in the register.
Why it stays audit-ready
Every check-in is an immutable record rather than a crossed-out line. Because attendance is captured against a specific seat and a specific shift, you can answer “who was in B-08 on the evening of the 12th?” months later — and the answer does not depend on anyone's memory or handwriting. Archived attendance keeps long-tenure records queryable without bloating live queries.
Gate setup
- Generate the library QR pass and print it at two sizes.
- Mount it where a student can scan without entering the seating area.
- Test with at least five different Android phones before opening.
- Brief staff on the three failure messages and what to do with each.
- Keep the printed fallback slip at the desk for new members.
