Collecting fees without chasing students

One dues ledger, three payment rails, receipts on WhatsApp and reminders that fire by themselves — plus the grace-period rules that stop a late fee becoming an argument.

Chasing dues is the part of running a library that scales worst. At 40 members it is a WhatsApp message. At 400 members it is an evening nobody enjoys, and it is the reason so many libraries accept underpayment for months.

One ledger, three rails

Members pay three ways in StudyDesk — cash at the counter, UPI through a dynamic QR, and card through the payment gateway — and all three land in the same payment ledger attached to the same membership. The practical effect is that your dues report stops needing to know how the money arrived; it only needs to know what is still owed.

  • Cash entries are recorded at the counter with the amount and the member, not in a separate diary.
  • UPI payments are created as orders against the member's membership so reconciliation is automatic.
  • Refunds and corrections are recorded as ledger entries, so the history of a payment is never rewritten.

The receipt does the reminding

Every payment produces a printable bill document — a full A4 layout with the library's details, the member's, the line items and an invoice number derived from the payment itself. Send it on WhatsApp and the student has a receipt in their chat, and you have a record that cannot be lost in a drawer. Most fee arguments in Indian libraries are not about the amount; they are about proof.

Coupons that respect the ledger

Discounts are modelled as coupons attached to the membership purchase, not as an adjustment someone makes after the fact. That means the receipt shows what was charged, what was discounted and why — and the discount appears in the library's own reporting rather than quietly shrinking revenue.

Nudges, grace periods and the hard stop

Dues reminders are scheduled rather than remembered. The system nudges over WhatsApp and SMS as a due date approaches, applies your grace period before anything is blocked, and escalates to a clear hard stop only after that window closes. Members are told what is outstanding and what happens next — before they are standing at the gate.

Set this up in an afternoon

  • Decide your grace period in days and write it into your house rules.
  • Connect the payment gateway and test one real UPI payment end to end.
  • Send the bill template to yourself and check every field renders correctly.
  • Turn on reminders and confirm the first one goes out on schedule.
  • Publish the grace-period rule to members before you enforce it once.
